 EMERGENCY SERVICES - TRIAGE & RAPID RE-HOUSING

 LOCATION: 363 Albany Street, Boston, MA, some Boston travel for meetings 

 SCHEDULE: Full-time, 40 hours per week. Generally, 8:30 a.m. – 5:00 p.m. Monday through Friday

  

 JOB DESCRIPTION:

The Assistant provides day to day administrative and clerical support to the Director of Triage and Rapid Re-Housing. S/he maintains a well-organized and efficient office, including the establishment, implementation and maintenance of office systems that assist in effective program operation. Specifically, the assistant coordinates program logistics, administrative, project and meeting management, meeting and document research preparation and distribution, internal and external constituent stewardship, and numerous administrative tasks including meeting scheduling and attendance, note taking, filing, report development and communications. The Assistant will be a strong communicator, with confidence in independent decision-making, and the ability to identify and escalate sensitive situations to program leadership in a timely and effective way.

The Assistant works effectively and collaboratively with all departments and staff, and collaborates with the Assistant to the Vice President of Emergency Services as needed to further the work of the Rapid Re-Housing team. As needed, the Assistant may support the Program Manager or other Rapid Re-Housing leadership on an as-requested basis.

 

REQUIREMENTS:

  •  Associate’s Degree
  •  Minimum of two years’ experience as an administrative assistant
  •  Minimum of one year’s experience working independent, without daily in-office supervision
  •  Experience working in a non-profit and/or human services environment  
  •  Strong planning and organizational skills; strong written and verbal communication skills 
  •  Strong organizational, written and verbal communications skills and project management experience
  •  Demonstrated commitment to Pine Street Inn’s mission, positive approach to change, promoting best development practices
  •  Strong computer proficiency, including: Word, Excel, and Power Point, Outlook and data entry in web-hosted and locally-hosted databases
  •  Skill in supporting data-driven work environments, with attention to accurate and timely data collection
  •  Experience managing expense reporting and coordinating expenditures with Finance
  •  Ability to work effectively under pressure, take initiative, be self-directed and take direction well
  •  Willingness to work some evenings and early mornings, as needed
  •  Experience in maintaining confidential records and information
  •  Experience in communicating effectively and confidentially in sensitive situations
  •  Works proactively to keep up with program innovations and new administrative technologies
  •  Demonstrated ability to successfully work in a goal-oriented team environment
  •  Enthusiasm, positive sense of humor and can do attitude
  •  Ability to sit for long periods of time
  •  Ability to sustain energy for a fast paced environment
  •  Ability to access different building locations and program sites
  •  Ability to stoop, bend, and stretch
  •  Ability to use a computer for email, word processing and spreadsheets; and other office equipment (fax, copier etc.) as needed
  •  Ability to respond quickly and calmly in emergency situations
  •  Ability to climb three flights of stairs
  •  Ability to travel by MBTA or to/from commuter parking lots

  

  

PAY:  $18 - $20  DOE
